Who this policy covers
Webnso Digital Studio operates this website under the Webnso brand. We may also offer paid projects, digital services and memberships, including Show Up Club, under the same business. This policy explains website enquiries and related payment information where a paid service is offered. Account, community and service-specific features may have additional notices explaining their own data practices before you use them.
What we collect
When you send a message through the contact form on this website, we collect five details that you enter:
- your name
- your clinic or business name
- your email address
- your phone number
- what you need help with
All five are required. We use them to reply to your enquiry and manage the related business communication. Submitting an enquiry does not subscribe you to marketing emails.
Please do not send patient information. The form is for business enquiries. Do not include patient names, health details or any other patient data in your message.
Where your details are stored and processed
- Replit — hosting and database infrastructure. Enquiry details are saved in a persistent database so we can follow up. Hosting also processes technical request information to deliver and protect the website.
- Resend — enquiry notifications. The contact details and message you submit are used to send an email notification to our team.
- Google/Gmail — business correspondence. Emails sent to or received at our published Gmail contact address are handled through Google's email service.
- Google Fonts — website typography. Your browser requests font files from Google. These requests can include your IP address and browser information.
- Cal.com — optional call booking. If you choose to book a call, you leave this site for Cal.com. Information you enter there, such as contact details and meeting availability, is handled under its own privacy practices.
We use these services to handle enquiries, arrange calls, deliver the website and protect it against misuse. We do not sell your enquiry details. Some providers also process information under their own privacy policies.
Processing outside Canada
Some providers may store or process information outside Canada, including in the United States. Information handled there may be accessible to courts, law enforcement or other authorities under local laws. We remain responsible for personal information under our control and take reasonable steps to protect it when service providers process it for us.
Cookies and analytics
Optional analytics is off by default worldwide. We load Google Analytics only after you choose Accept analytics. You can choose Reject analytics without affecting browsing, enquiries or booking, and use the Cookie settings control on any public page to change your choice or withdraw permission. Withdrawal stops analytics, removes accessible Google Analytics cookies for this site and reloads the page to unload Google Analytics; it does not erase information already received by Google.
We remember your choice in this browser's local storage for up to 180 days, then ask again. This preference storage is used only to honour your choice, not to track you. Clearing browser storage or using another browser or device means you will be asked again. If preference storage is unavailable, your choice applies only to the current page. Necessary site functions and external services such as Google Fonts and Cal.com are separate from this optional analytics choice.
We use Google Analytics 4 on public website pages to understand visits and count successfully saved enquiries and booking-button clicks. Google Analytics can use cookies and process technical information such as page views, device and browser details, and approximate location. We do not intentionally send your name, email, phone number, clinic name or message contents in our analytics events. Google explains its processing in its privacy policy and offers an Analytics opt-out browser add-on. Your browser settings can also limit cookies. Analytics is not installed in the staff admin or members area. A necessary, four-hour session cookie lets staff sign in to the internal enquiry area; ordinary visitors do not receive that staff cookie.
For security and spam prevention, we keep a hashed version of the request's IP address with a short-lived request counter. Our hosting provider may also process technical information such as IP addresses and browser details, and external booking services may use their own cookies. We do not add your enquiry contents to search metadata or public analytics.
Payments
Browsing this website or submitting an enquiry does not initiate a payment. Webnso Digital Studio may collect payments for its projects, digital services and memberships, including Show Up Club, when those paid services are available. Checkout or the applicable written agreement will identify the service, the business collecting payment and the billing terms before you commit.
Where Stripe is used, payment details are entered through Stripe's payment tools. When using hosted Stripe checkout, we do not store full card numbers or card security codes on our own servers. We may receive billing contact details, transaction identifiers, amounts, payment status, limited payment-method details and, where relevant, subscription, invoice and refund information. We use this information to fulfil the purchase, manage billing, answer payment questions, prevent fraud and meet accounting or legal obligations. Stripe processes information under its privacy policy.
This describes how information will be handled if you choose an available paid service; it does not mean checkout or paid membership is currently available on this version of the website. We will update relevant notices and obtain additional consent where required before introducing materially different uses of your information.
How long we keep it
We currently have no fixed deletion schedule for enquiries or related business emails. Enquiry records remain in our internal inbox until manually deleted, and related email correspondence is generally kept while the email account remains active. You can request deletion using the privacy contact above; applicable legal obligations may limit what can be deleted or when. Where a purchase is made, some transaction records may need to be retained for accounting, tax or dispute-handling requirements. Email copies and provider backups may be subject to separate retention and deletion processes; deleting an enquiry from our internal inbox does not instantly remove every copy.
Your choices, access and complaints
You can ask to access or correct personal information we hold about you, request deletion, withdraw consent where applicable, or raise a privacy concern. To make a request, email webnsodigitalagency@gmail.com. We may need to verify your identity before providing access or making changes. Legal or contractual requirements may limit what can be deleted or when; we will explain any applicable limits.
Withdrawing information needed to provide a requested service may affect our ability to provide it. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or another applicable privacy authority.
Changes
We will post updated versions on this page. Where required, we will notify you and obtain consent before using your information for a materially different purpose. A review date will be shown here once the owner has reviewed this policy.
